1. Introduction

Aadeshwar Academy, Narayanpur, Chhattisgarh ("the School", "we", "us", or "our") operates a school management website and mobile application (together, the "Services") for the internal use of our school community.

This Privacy Policy explains what personal information we collect, how we use it, and the choices available to authorised users. By using the Services, you acknowledge this policy.

2. Who may use the Services

Access to the Services is restricted through a gated login system. The Services are intended only for:

• Parents or guardians of currently enrolled students
• School staff and administrators authorised by the School

There is no public or external self-registration. User accounts are created and managed solely by the School. The mobile application is not promoted to the general public for download growth; it is distributed for use by our school community only.

3. No sale of data and no advertising

All information stored and processed through the Services is for the internal operational use of the School only. We do not sell, rent, or trade personal data to any external party for commercial marketing or any similar purpose.

The Services do not display third-party advertisements, do not integrate third-party advertising SDKs, and are not used to run advertising campaigns aimed at increasing app downloads.

4. Information we collect

Depending on your role and the features you use, we may process the following categories of information:

• Account and login data: usernames, email addresses, password credentials (stored in hashed form), and authentication tokens for web or mobile access.
• Student and family records: student name, parent/guardian names, date of birth, gender, contact phone and email, address, academic category, religion, blood group, photographs, admission details, and related identifiers maintained for school administration (for example APAAR or PEN where applicable).
• Academic and attendance data: class, section, session, attendance records, notices, and related school activity information.
• Fee and payment data: fee allocations, discounts, payment amounts, transaction references, and payment status processed through our payment gateway.
• Staff and operational data: staff profile details, roles and permissions, and (where relevant to transport operations) identity or contact details required for duty allocation.
• Communications: messages submitted through consultation or inquiry forms, and emails we send (such as password reset or payment confirmation).
• Device and push notification data (when enabled): device push tokens and related delivery metadata used to send school notices and alerts via Google Firebase Cloud Messaging (FCM). Push notifications are used only for school communications, not for advertising.
• Technical logs: limited server logs needed for security, troubleshooting, and reliable operation of the Services.

5. How we use information

We use personal information only to:

• Operate student, parent, and staff portals
• Manage admissions, attendance, academics, and transport
• Collect and reconcile school fees and related payments
• Send necessary operational emails and (when enabled) push notifications
• Authenticate users and protect accounts against unauthorised access
• Maintain school records and comply with applicable education and legal obligations

We do not use personal information for third-party advertising or for selling data.

6. How we share information

We do not share personal information with third parties for their own marketing. We may share limited data with service providers who process it on our behalf solely to run the Services, such as:

• Hosting and database providers that store school records
• Object storage used for photographs and uploaded files
• Payment gateway providers (for example EazyPay) to process fee payments
• Email delivery services used to send transactional messages
• Google (Firebase Cloud Messaging), when push notifications are enabled, to deliver alerts to authorised devices

We may also disclose information if required by law, court order, or a competent authority, or to protect the safety and rights of students, staff, or the School.

7. Children's information

The Services process information about students as part of normal school administration. Accounts for minors are created and managed by the School; parents or guardians access relevant information through authorised login. We do not knowingly offer open registration to children from the general public. Student data is handled with care and used only for educational and administrative purposes.

8. Data retention

We retain personal information for as long as needed for school operations, academic and fee records, legal compliance, and dispute resolution. When information is no longer required, we take reasonable steps to delete or anonymise it in line with our internal retention practices.

9. Security

We use reasonable technical and organisational measures to protect personal information, including encrypted transport (HTTPS), hashed passwords, role-based access controls, and authenticated sessions (including secure tokens for the mobile app). No method of transmission or storage is completely secure; users should keep login credentials confidential and notify the School if they suspect unauthorised access.

10. Your choices and rights

Authorised users may request correction of inaccurate profile or contact information by contacting the School administration. Parents and staff can change passwords through the available account features where provided.

Because accounts are school-managed, requests to disable an account or remove data should be directed to the School. We will respond as appropriate under applicable law and our operational requirements (for example, fee or academic records may need to be retained).

11. Push notifications

If you use the mobile application and enable notifications, we may send operational messages such as notices, fee reminders, or attendance-related alerts. You can disable notifications in your device settings or through in-app controls when available. Disabling notifications does not affect access to other logged-in features of the Services.

12. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will be revised when changes are published. Continued use of the Services after an update constitutes acknowledgment of the revised policy.
